Assign and update a phone request

When to use it

Use this guide when you need to assign and update a phone request.

Before you start

  • Open USSD from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

The request shows its updated assignment, status, and notes.

Request updates change follow-up assignment, notes and status. Marking completed records that follow-up is finished; it does not create or correct a supplier/customer order.

Steps

  1. Open the request using its row's pencil action.
  2. Choose the staff member in Assigned to in Request Details.
  3. Set the appropriate status and add notes explaining what was done or what remains.
  4. Select Save Changes when editing the details. Reopen the request to check the assignment and notes.

Restrictions

You need permission to add or edit USSD requests. Choose a valid staff member in Assigned to before Save Changes, including when correcting a completed request. The details form allows changes to its status, assignment and notes; the separate Mark as Completed action does not save outstanding form edits.

If something went wrong

After an unclear Save Changes, reopen the same request and check the saved assignment, status and notes before trying again.

For incorrect saved follow-up details, open the row's pencil action to Request Details, correct Status, Assigned to or Notes, and select Save Changes. An assigned request must have a staff member. Completed requests can also be corrected through this details form when you have add/edit permission.

Tell the former and intended staff members about a reassignment. Changing request notes/status does not undo an order or payment made during follow-up; correct those originating records separately.

Check the correction

Reopen the request and check the intended assignment, status and notes. Confirm the responsible colleague knows what work remains.
