Manage farmers assigned to an order
When to use it
Record which farmer supplied each product and quantity on a supplier order.
Before you start
- You need access to farmer assignment actions and the order. Have the farmer names, quantities, and any food-loss reasons ready.
What this changes
The assignment list reflects the farmers and quantities recorded against the order.
A supplier order sets up a purchase. Receiving it records stock and a bill; approval, dispatch, receipt and payment are different stages.
Steps
- Open the supplier order details and choose Assign Farmer under More actions.
- Choose the farmer for each relevant product and enter the assigned quantity.
- If the assignment is marked as avoiding food loss, complete the food-loss reason. Check the remaining quantity shown for the product.
- Select Save, then check the assignment list.
- To correct an assignment, use its Edit action and save. To remove an incorrect assignment, use Delete and confirm Yes, Delete after checking the farmer and product.

Restrictions and help
- An assignment cannot exceed the quantity still available on that line. The limit uses ordered, dispatched, or received quantity according to the order stage.
- The same farmer cannot be added twice to the same product line. Edit the existing assignment instead.
- Removing an assignment does not delete the farmer record or cancel the supplier order.
If something went wrong
If you assigned the wrong farmer or quantity, reopen the assignments on the original order and compare them with collection evidence. Use the assignment's Edit action and Save for supported corrections, or Delete → Yes, Delete to remove an incorrect assignment after checking the farmer and product.
After an unclear save, check each saved farmer and assigned quantity before adding assignments again. If goods have already been collected, have Sourcing agree the correction with the farmers; changing the assignment does not move goods or update their instructions for you.
Check the correction
Check each farmer's assignment and the order's total assigned quantity. Replace any delivery note based on the wrong assignments and confirm the actual collection separately.
