Sync an order to QuickBooks

When to use it

Use this guide when you need to sync an order to QuickBooks.

Before you start

  • Open Orders from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

The order is submitted to QuickBooks and the ERP shows the outcome.

Validation and sync can send invoice, tax or delivery information for further processing. Printing or exporting makes a copy; a payment request is not evidence that the customer paid.

Steps

  1. Find a validated order that has not been sent to QuickBooks.
  2. Select Sync to Qb. Review the order quantities and rejection information shown.
  3. Select Sync Order when the details are correct.
  4. Check the sync result and the QuickBooks date in the list.

Restrictions

This needs customer-order approval access. The sync control is unavailable after the order has been sent. Do not repeatedly submit an uncertain result without checking the existing record.

If something went wrong

If the order quantities shown in the sync review are wrong, do not select Sync Order. Have Sales and Finance review the source first.

After an unclear sync, check the order's QuickBooks date and have Finance check its external reference before retrying. The control is unavailable once the order has been sent. If incorrect details reached QuickBooks, give Finance the order/invoice and external references; an ERP correction is not proof that the accounting record changed.

Check the correction

Compare the reviewed ERP totals and customer with the QuickBooks entry. Confirm the intended accounting record exists once.
