Record that nothing arrived

When to use it

Handle a delivery where nothing was received on any line.

Before you start

  • You need receiving access and order-reversal permission. Check that no positive quantity arrived in another grade and no linked bill has been paid or partly paid.

What this changes

The cancellation reverses the eligible order rather than creating an ordinary receipt with nothing received.

A supplier order sets up a purchase. Receiving it records stock and a bill; approval, dispatch, receipt and payment are different stages.

Steps

  1. Open Receive on the dispatched order in Purchase Receive.
  2. For every product, choose Receive 0 quantity and record the appropriate rejection reason. Check that all actual received quantities are zero.
  3. Attempt to submit the receipt. Read the explanation offering cancellation instead of a zero delivery.
  4. Choose Keep editing if anything needs checking. Choose Cancel order only if nothing arrived and the order should be cancelled.
  5. Check the order’s cancelled status and its linked unpaid bills after success.

Restrictions and help

  • This receiving action can cancel a dispatched order through reversal. It is different from the ordinary order-list Cancel action.
  • A paid or partly paid linked bill prevents reversal. Ask Finance to resolve it.
  • If cancellation rights are missing, ask your administrator or Sourcing reviewer. Do not enter a made-up received quantity.

If something went wrong

Before confirming Cancel order, choose Keep editing if any goods actually arrived. Enter only the quantities supported by the delivery evidence.

After an uncertain cancellation, reopen the original order and check whether it is Cancelled before retrying. Missing reversal rights or a paid/partly paid linked bill need review by the administrator or Finance.

If the order was cancelled as all-zero but goods did arrive, tell Sourcing and Inventory immediately. Follow Reversal recovery; there is no restore control here. Agree how the actual delivery will be recorded before entering another receipt.

Check the correction

Compare the final order status and any replacement receipt with the actual delivery. Check stock and unpaid bills with the reviewers; do not count the same delivery twice.
