Create or edit a voucher

When to use it

Use this guide when you need to create or edit a voucher.

Before you start

  • Open Vouchers from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

A voucher is saved for its selected customer or allowed usage scope.

The voucher’s code, customer eligibility, discount and expiry determine when it can be used. Editing a voucher does not itself correct discounts already recorded on customer orders or invoices.

Steps

  1. Open Sales → Vouchers and select Add Voucher.
  2. Choose Voucher Type, enter Voucher Code, and select Customer where applicable.
  3. Set Discount Type, Discount Value and Expiry Date. For a bulk voucher, check Max Uses Per Company before creating it.
  4. Select Save and check the saved details and status. To correct an eligible voucher, use Actions → Edit and save the changes. Activate it through the separate status control when authorised and appropriate.

Restrictions

Expired and redeemed vouchers are read-only in the row actions. Add/edit permission is required. Percentage reduces the price by a percentage; Flat deducts a fixed amount. Check the selected type.

The current edit form does not save changes to Max Uses Per Company. Check this limit carefully when creating a bulk voucher; ask the Sales owner to review an incorrect limit on an existing voucher.

If something went wrong

  1. If the voucher has not been saved, correct its code, type, customer, discount or expiry before selecting Save, or choose Cancel to discard the form.
  2. If a save has an uncertain result, find the original voucher in Sales → Vouchers and check whether it was created or updated before trying again. Keep the voucher code and exact error when asking for help.
  3. For an eligible saved voucher with the wrong code, customer, type, discount or expiry, use Actions → Edit, correct the fields and select Save. Reopen it to verify the saved values. If the incorrect voucher is active, have an authorised colleague deactivate it while the correction is reviewed.
  4. If the voucher is expired or redeemed, or its saved Max Uses Per Company is wrong, give the Sales owner its code, current status, recorded uses and intended correction. Do not create a duplicate or activate an unchecked replacement to work around the unavailable correction.

What the correction changes

An eligible edit updates the voucher fields accepted by the save. A status change affects whether the voucher is available for later use; it does not undo earlier use or change its recorded usage count.

What still needs follow-up

Find customer orders that used this voucher and compare their saved discount, total and invoice with the agreed amount. Use Edit a new customer order where eligible; involve Sales and Finance for an already-processed order or invoice. Changing the voucher does not refund money or automatically fix those records.

If the code or customer eligibility changed, give the intended customers the corrected voucher information after review. Keep the original and corrected codes together so staff can find orders that used the earlier code.

Check the correction

Reopen the voucher and check its code, type, customer, discount type/value, expiry, status and bulk-use limit where applicable. Confirm the intended customer is eligible and review any orders that already used it separately. If a field still shows the old value, report it instead of assuming the correction succeeded.
