Activate deactivate or delete a voucher

When to use it

Use this guide when you need to activate deactivate or delete a voucher.

Before you start

  • Open Vouchers from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

The voucher’s availability or removal result is recorded.

Activating or deactivating changes the voucher’s availability for later use. Deleting removes it from the active voucher records. These actions do not undo discounts already recorded on customer orders or invoices.

Steps

  1. Find the voucher and check its code, customer, status, and expiry.
  2. Use Activate or Deactivate when the status control is available. Check the changed status.
  3. If an eligible incorrect voucher must be removed, choose Delete, review the confirmation, and select Yes, Delete.

Restrictions

The status buttons are shown with voucher approval access, for active or inactive vouchers. Deactivation also needs voucher add/edit access. Expired and redeemed vouchers cannot be edited or deleted through the row actions. Check expiry and customer eligibility before activating an inactive voucher.

If something went wrong

  1. Find the original voucher by its code and check its customer, type, discount, expiry, status and recorded uses. After an uncertain status change or deletion, reload the list before repeating the action; check filters if the voucher is missing.
  2. If the wrong voucher was activated, use Deactivate on that voucher when available. If the intended voucher was accidentally deactivated, check its expiry and eligibility before using Activate. Reopen the row to confirm the saved status; if access or status blocks the action, ask the Sales owner to review it.
  3. For incorrect code, customer, type, discount or expiry, follow Create or edit a voucher. A status change alone does not correct those details. The current edit form does not save a changed Max Uses Per Company; refer an incorrect saved limit to the Sales owner.
  4. For accidental deletion, give the Sales owner the original code and any orders that used it. There is no restore control on this screen. Agree a replacement only after checking the original usage and customer eligibility; a new voucher does not preserve the earlier voucher’s usage history.

What the correction changes

Successful activation sets the voucher to Active; deactivation sets it to Inactive. Deletion removes the selected voucher from normal use. These actions do not reverse earlier redemptions, reset recorded uses or recalculate existing orders.

What still needs follow-up

Review orders that used the voucher, including orders placed while an incorrect voucher was active. Compare the saved discount, order total and invoice with the intended amount. Correct eligible new orders through Edit a new customer order; have Sales and Finance review processed orders or invoices.

Tell the intended customers about the approved change to the voucher’s availability or replacement code. Deactivation or deletion does not recall an already-used discount or refund a payment.

Check the correction

Reload Vouchers and confirm the correct code has the intended status. After deletion, check the result with the Sales owner before creating a replacement. Compare the voucher’s recorded uses with known customer orders and check those orders’ discounts and invoices separately.
