Import invoices

When to use it

Use this guide when you need to import invoices.

Before you start

  • Open Invoices from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

The invoice file is submitted for import and its outcome is shown.

Validation and sync can send invoice, tax or delivery information for further processing. Printing or exporting makes a copy; a payment request is not evidence that the customer paid.

Steps

  1. Open Invoice actions → Bulk Import.
  2. Download the template, complete it in the same structure, and choose Browse Files to select the completed file.
  3. Check the selected file before choosing Import.
  4. Wait for the result and check the affected invoices in the list.

Restrictions

Use the current template and keep its headings. Check for existing invoices before retrying an uncertain import.

If something went wrong

Before Import, correct the file using the current template and check customer/order references and amounts against the intended invoices.

After an unclear or failed import, inspect the import result and affected saved invoices before uploading again. If incorrect or duplicate invoices were created, give Finance the original file, invoice/order references and correct amounts. No general import rollback is described here; do not re-import the whole file or issue credits without Finance review.

Check the correction

Match each affected invoice to its intended order and amount. Check customer balances and any accounting/tax documents already generated; confirm a retry did not duplicate invoices.
