Update a farmer or supplier record

When to use it

Correct contact, location, farm, business, status, or payment information on an existing record.

Before you start

  • You need add/edit permission for the relevant record type and evidence for the changes.

What this changes

The record reflects the saved information. Payment changes remain subject to separate approval.

These actions change the saved farmer or supplier information used for sourcing. Submitted payment details still need separate payment-profile review.

Steps

  1. Open Farmers, Suppliers, Partners, or Co Manufacturers under Sourcing. Find the record and choose Edit, or use its details-page edit action.
  2. Check the existing name and phone so you are editing the correct record.
  3. Update the relevant fields and check all required information. Change payment details only against confirmed evidence.
  4. Where available, choose the appropriate active, dormant, or inactive status. Save with the form’s Save action.
  5. Reopen the record to check the saved details. Have newly submitted payment details approved through the payment-profile process before relying on them.

Restrictions and help

  • Payment approval belongs to the payment-profile process outside these Sourcing instructions. Ask the responsible reviewer to follow it.
  • Delete is shown on these lists, but record deletion is currently unsupported. A success message can appear while the record remains; do not treat it as removed.
  • If you need to stop using a record, agree the appropriate status with the reviewer rather than repeatedly choosing Delete.

If something went wrong

After an unclear save, reopen the same profile and compare the fields you changed before saving again. Use Edit and the form's Save action for supported contact, business or status corrections.

For incorrect payment details, submit the confirmed details and have Finance review the payment profile. A saved profile edit does not immediately approve a new payment destination.

If the edit was made to the wrong person, give Sourcing both record references and the original/correct details. Do not rely on Delete to remove a duplicate: supplier deletion is unsupported even if it displays success.

Check the correction

Check the saved fields on the correct profile. Review any orders or payments that used the incorrect details separately; editing a profile does not recover a completed payment.
