Request payment for an eligible order

When to use it

Use this guide when you need to request payment for an eligible order.

Before you start

  • Open Orders from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

A payment request can be initiated for an eligible order. Sending a request is not proof of payment.

Validation and sync can send invoice, tax or delivery information for further processing. Printing or exporting makes a copy; a payment request is not evidence that the customer paid.

Steps

  1. Open the order details.
  2. If Request payment is available, select it and follow the payment dialog.
  3. Check the recipient and amount before submitting the request.
  4. Check the order payment status after the request and after payment is confirmed.

Restrictions

The current details page offers this for Kibanda Orders, with add/edit permission, while the order is New Order.

If something went wrong

Before submitting the payment request, correct an unintended recipient or amount through the eligible source/order controls and review the dialog again.

After an unclear request, check the original order's payment state and have Finance inspect the payment request/provider result before repeating it. A request being sent is not proof of payment.

If the wrong request reached a customer, give Sales and Finance the order reference, recipient, amount and send result. There is no recall/refund control in this task; agree the follow-up before requesting another payment.

Check the correction

Check the intended request amount and recipient, then verify actual payment evidence separately. Confirm the same customer was not asked or charged twice.
