View edit or reverse a booked payment

When to use it

Use this guide when you need to view edit or reverse a booked payment.

Before you start

  • Open Accounts Receivables from the module menu. Your account must have access to this screen and permission for the action you want to complete.
  • Confirm the accounting correction before reversing a payment.

What this changes

The recorded payment can be inspected, corrected, or reversed when eligible.

Booking a payment records money received and how cash or existing credits are assigned to invoices. It changes invoice balances and available customer credit.

Steps

  1. Open the booked payments list and filter by company, dates, status, or unapplied amount.
  2. Use View Payment to inspect the recorded payment and allocations.
  3. Use Edit Payment for an eligible correction. The customer stays fixed; review amounts and allocations before saving.
  4. To reverse a qualifying manual payment, use Reverse, enter the reason, and choose Reverse Payment. Check the resulting invoice and credit balances.

Restrictions

Editing and reversal need receivables add/edit access. Reversal is offered only for manually booked receivables payments that are not voided. It does not send cash back to a customer.

Reversal is blocked if some of the payment has been refunded, used as credit by other payments, or cannot be covered by the remaining customer credit. Editing cannot reduce the amount below money already used elsewhere. Ask the finance team to resolve these links before retrying.

If something went wrong

  1. Compare the payment reference, customer, amount, date and amounts assigned to invoices with the bank or payment evidence. For an uncertain save, locate the original payment before booking another.
  2. For an eligible unreversed payment, use Edit in View, edit or reverse a booked payment and check the proposed amounts assigned to invoices before saving.
  3. If the booking itself is wrong, Finance can review Reverse payment and its reason. Reversal is blocked where there are refunds, credit used by another payment or insufficient remaining credit. Resolve those dependencies with Finance in the order shown by the message; do not create compensating duplicate payments.
  4. For the wrong customer, ask Finance to review reversing the incorrect booking before recording the payment for the correct customer. Verify actual receipt independently.

What the correction changes

A successful edit recalculates amounts assigned to invoices. Reversal voids the booking, removes the amounts it assigned to invoices, restores the credit sources it used and recalculates affected invoice payment states and customer credit.

What still needs follow-up

Reversal is not a cash refund: it does not move money out of the bank. Review real refunds, other payments using the credit, statements, commission eligibility and exported accounting separately.

Check the correction

Check the payment’s final status, every affected invoice balance, restored credit and the bank evidence. Keep original and corrected references together; confirm the receipt was booked once.
