Create a customer order

When to use it

Use this guide when you need to create a customer order.

Before you start

  • Open Orders from the module menu. Your account must have access to this screen and permission for the action you want to complete.
  • Have an existing customer and delivery address ready.

What this changes

A customer order is saved. Check its order number, customer, items, total, and delivery details on the order details page.

A saved order records the customer’s requested items and prices. Saving a browser draft does not create an order. Later dispatch, delivery, invoicing and payment affect other records.

Steps

  1. Open Sales → Orders and select New Customer Order.
  2. Select the customer, order date, payment type, delivery type, delivery location, delivery date, and delivery window.
  3. Add the required products. Check each grade, unit, quantity, size, ripeness, and processing option where offered.
  4. Review item prices, delivery charges, instructions, and any selected voucher.
  5. Use the save action, review the confirmation, then select Confirm Order. If partner products have a different delivery date, complete that date before confirming.

Restrictions

The customer cannot be changed when editing an existing order. A customer, delivery date, and valid line items are required. Saving a draft does not place an order.

Products blocked for the customer’s group cannot be ordered. Unless the group uses consolidated invoicing, partner orders must contain products from one partner only; regular orders cannot include partner products. Follow the message and create separate orders where required.

If something went wrong

Before Confirm Order, correct the customer, delivery details, products, units, quantities, prices and voucher. After an unclear save, locate the order reference before creating another.

For a saved New Order, follow Edit a new customer order. The saved customer cannot be changed; for a wrong customer, review Cancel a customer order, confirm cancellation, then create the intended replacement.

For Dispatch Staged, correct packed quantities through Dispatch staging. Ordinary cancellation is limited to eligible New Order or Dispatch Staged work.

For an order already processed, give Sales, Inventory and Finance the order and actual delivery/payment evidence. Review Reverse customer-order inventory only when a whole-order correction is agreed; it also cancels the order.

What the correction changes

An eligible edit updates the order; ordinary cancellation stops an unused order. Inventory reversal cancels the order and corrects its linked stock entries.

What still needs follow-up

Review dispatch/chasers, route instructions, invoices, credits, actual payments and external accounting separately. Cancellation does not recall goods or refund money.

Check the correction

Check original and any replacement status, items, totals and delivery details. Confirm there is one active order for the intended purchase, then check any stock, invoice and customer balance correction separately.
