Record a lease expense

When to use it

Use this guide when you need to record a lease expense.

Before you start

  • Open Logistics Expense from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

A vehicle lease expense is recorded for the selected vehicle.

Logistics expenses record fuel, lease or other route/vehicle costs. Automation can generate or recalculate records for the selected types and dates.

Steps

  1. Open the Lease tab and choose Add Lease Expense.
  2. Enter the date, vehicle, mileage, and total cost. Check the owner details associated with the vehicle.
  3. Select Save and check the new lease expense.
  4. Use View to inspect the invoice and Edit or Delete only for an eligible correction.

Restrictions

Creation, editing, and deletion require the matching logistics-expense access. Approved expenses have additional restrictions; follow the status shown.

If something went wrong

Before Save, check the vehicle, owner, date, mileage and total cost against the lease evidence. After an unclear save, find the original lease expense before adding another.

For a saved eligible mistake, use the expense's Edit or Delete action and inspect the result before replacing it. If approval or payment blocks correction, give Finance the original reference and confirmed lease information. A vehicle-owner edit does not automatically correct an existing lease expense.

Check the correction

Check the saved lease amount, vehicle/owner and status against the agreement. Review actual payment and accounting separately.
