Review and sync a weekly journal
When to use it
Use this guide when you need to review and sync a weekly journal.
Before you start
- Open Weekly Journal Exports from the module menu. Your account must have access to this screen and permission for the action you want to complete.
What this changes
The selected journal can be reviewed and submitted to QuickBooks.
Closing an accounting period restricts posting. Journals group accounting entries; manual journals must balance before saving and are reviewed before sync.
Steps
- Open Finance → Weekly Journal Exports and find the required document number or period.
- Use View export. Check its accounts, debit and credit totals, difference, adjustment type, and memo.
- Use View account breakdown to inspect the supporting lines.
- Choose Sync to QuickBooks when eligible, then Refresh to check the status and QuickBooks journal reference.

Restrictions
Sync needs add/edit journal access and an eligible status. Check an existing QuickBooks reference before retrying. A saved pending journal has not necessarily been synced.
Only pending or failed journals can be sent to QuickBooks. Missing account links must be corrected by the finance administrator; do not change amounts merely to bypass an error.
If something went wrong
If the journal's accounts, date or amounts are wrong, do not choose Sync to QuickBooks. Give Finance the document number and source entries for correction.
After an unclear or failed sync, use Refresh and check status, errors and the QuickBooks reference before retrying an eligible pending/failed journal. Missing account links need the finance administrator; do not change amounts to bypass the error.
If an incorrect journal is already synced, have Finance agree the external accounting correction. There is no undo-sync control here; creating another journal does not automatically cancel the first.
Check the correction
Compare the reviewed journal and QuickBooks entry by document/reference, date, accounts and totals. Confirm the intended journal was exported once.
