Record a stock adjustment
When to use it
Use this guide when you need to record a stock adjustment.
Before you start
- Open Stock Adjustments from the module menu. Your account must have access to this screen and permission for the action you want to complete.
- An adjustment records a stock addition or deduction. Check the quantity and purpose before saving.
What this changes
A stock adjustment is saved for the chosen product and purpose.
A saved stock adjustment can change stock before it is validated. Validation records approval; it does not apply the same quantity a second time.
Steps
- Open Inventory → Stock Adjustments and select Add Stock Adjustment.
- Enter the date, product, category, and quantity in the unit shown.
- For loss, select Reason For Loss. For staff lunch or donation, choose the relevant staff member or charity. For reconciliation, choose addition or deduction.
- Check the kilogram equivalent, details, and reason before selecting Save.

Restrictions
Add/edit stock-adjustment access is required. Use the displayed entry unit and measured weight where applicable; do not confuse item count with kilograms.
If something went wrong
- Find the original adjustment in Inventory → Stock Adjustments. Check product, grade, date, quantity, unit, addition or deduction, and validation status against the physical count.
- For an incorrect unvalidated adjustment entered on its own, follow Delete or reverse an adjustment. Delete removes the eligible adjustment and corrects its stock entries. Check the result before recording the correct replacement.
- For a validated adjustment entered on its own, Delete is blocked. Ask the person responsible for inventory to review Reverse, including the reason and any later stock use. After a successful reversal, record the correct adjustment if one is still needed.
- The screen offers Edit, but saving that edit is not supported by the current system. Do not rely on it to correct stock. For adjustments created by sample orders or production, correct the originating task with its owner; reversing an associated adjustment alone may not undo that task.
What the correction changes
Eligible deletion or reversal creates correcting stock entries. Reversal removes the original from the active list. Later stock costs are queued for recalculation.
What still needs follow-up
Check later orders, movements, production and reports that used the affected stock. Ask Finance to review any accounting export already sent. Do not add an opposite adjustment before checking whether the first correction succeeded.

Check the correction
Compare the product’s current stock and transaction history with the physical quantity. Keep the original reference, correction reason and replacement reference together; check validation and accounting status separately.
