Cancel an unused supplier order

When to use it

Cancel an ordinary order that will no longer be used, before it has been dispatched.

Before you start

  • You need supplier-order deletion permission. Check that the order has not been dispatched, completed, or already cancelled.

What this changes

The order is cancelled. Its remaining work should not proceed.

A supplier order sets up a purchase. Receiving it records stock and a bill; approval, dispatch, receipt and payment are different stages.

Steps

  1. Find the order in Sourcing → Supplier Orders and use View to confirm its reference and status.
  2. Open its action menu and choose Cancel.
  3. Check the confirmation carefully and confirm only if the order should no longer proceed.
  4. Refresh the list and check for Cancelled status.

Restrictions and help

  • The ordinary Cancel action rejects dispatched and completed orders. Use the reversal guide when an eligible processed order needs to be undone.
  • Cancelling a pending receiving exception rejects that exception; check the original order separately.
  • Closing the confirmation without accepting it leaves the order unchanged.

If something went wrong

If cancellation is uncertain, refresh the original order and check for Cancelled before trying again. A dispatched or completed order cannot be cancelled through this ordinary control; follow Reverse a processed supplier order only after review.

If you cancelled the wrong order, there is no restore control in this guide. Give the Sourcing reviewer the original reference and intended purchase. Agree any replacement and check whether a supplier notification or collection was already arranged before creating it.

Check the correction

Confirm the original is Cancelled and only the intended replacement is active. Check the supplier instructions and collection arrangements separately; a replacement does not restore the original reference.
