Save packed quantities for dispatch approval
When to use it
Use this guide when you need to save packed quantities for dispatch approval.
Before you start
- Open Packing List from the module menu. Your account must have access to this screen and permission for the action you want to complete.
What this changes
The packed quantities are saved and the order can be reviewed for dispatch approval.
Saving packing quantities stages the order for approval. Approval finalises dispatch quantities and can create a chaser for shortages. Stock timing differs for delivery, pickup and sample orders.
Steps
- Find an eligible order in Packing List and open the dispatch action.
- Enter the quantity actually packed for each item. For units without fixed weight, enter the measured inventory quantity in kilograms.
- For missing quantities, mark the items to follow up as chasers and select their reasons.
- Review the quantities, then select Save for approval or Save changes as offered.

Restrictions
Editing needs dispatch add/edit access. The order must be New Order or Dispatch Staged. Saving for approval is separate from approving dispatch.
If something went wrong
Before saving, correct the packed quantities, measured kilograms and shortage reasons against the goods actually packed.
After an unclear save, reopen the original order and inspect the saved lines. While it remains New Order or Dispatch Staged, reopen the dispatch form, correct the lines and use Save for approval or Save changes as offered. Tell the approver to review the newly saved quantities.
If dispatch was already approved, ordinary staging edits are no longer available. Follow Dispatch-approval recovery.
Check the correction
Compare saved quantities and weight with the packed goods and shortage reasons. Saving staging values does not complete dispatch; check the order state separately.
