Create an access role

When to use it

Use this guide when you need to create an access role.

Before you start

  • Open Role Management from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

The role is saved with its selected permissions. Assign it to staff from User Management when needed.

Role permissions determine staff actions. Editing replaces the selected permission set. Removing a role detaches its users and permissions; its row may remain visible.

Steps

  1. Open Role Management and select Add Role.
  2. Enter a unique role name. A role is a set of permissions that can be assigned to staff.
  3. Choose a module and tick the actions this role should allow. Use the search to find particular permissions.
  4. Use Select All only when every permission in that section is intended. Clear All removes selections in that section.
  5. Review the complete selection and select Save Role.

Restrictions

You need permission to add or edit roles. A role name must be unique. Only grant the actions the staff member needs.

If something went wrong

After an unclear Save Role, look for the role name before creating another. If the saved permissions are wrong, follow Change an access role to save the approved set.

If staff were already assigned the incorrect role, have the administrator review their access and any work performed with it. Do not create a broadly privileged replacement simply to make blocked actions available.

Check the correction

Check the saved permission set and affected staff assignments. Verify permitted and restricted actions with an approved test account after refreshing or signing in again.
