Change an access role

When to use it

Use this guide when you need to change an access role.

Before you start

  • Open Role Management from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

The role has the revised name and permissions. Staff assigned to it may gain or lose access.

Role permissions determine staff actions. Editing replaces the selected permission set. Removing a role detaches its users and permissions; its row may remain visible.

Steps

  1. Find the role and select Edit.
  2. Review its current permissions and change the name or selected actions as needed. This affects staff assigned to the role.
  3. Select Update Role.
  4. If Confirm permission removals appears, read the removed actions. Select Review Again to adjust them or Save Changes to confirm.
  5. Reopen the role and check its saved permissions.

Restrictions

You need permission to add or edit roles. Removing permissions affects existing users; review the removals before confirming.

If something went wrong

Before confirming permission removals, choose Review Again if the removed actions are not intended. After an unclear save, reopen the role and check the saved permission set.

For incorrect saved permissions, use Edit → Update Role and include every permission that should remain. Unchecked permissions are removed on save. If you lost your own access, ask another authorised administrator to make the correction.

Review affected staff and work already performed under the wrong permissions; correcting the role does not undo those actions.

Check the correction

Check the complete saved permission set and staff assignments. Verify one intended permitted action and one restricted action with an approved test account after refreshing or signing in again.
