Send a supplier record to QuickBooks

When to use it

Create or update the supplier’s record in QuickBooks, the accounting system linked to the ERP.

Before you start

  • You need access to the sync action and a configured accounting connection. Check the supplier details first.

What this changes

The corresponding accounting supplier record is created or updated when synchronization succeeds.

Documents support order and payment checks. An accounting sync sends information for external processing; a success message alone does not prove the external record is correct.

Steps

  1. Open Sourcing → Suppliers, Partners, or Co Manufacturers and find the record.
  2. Check the name, contact, and payment information in its profile.
  3. Where offered, select Sync to QB in the Quickbooks Sync column. Wait for the result.
  4. Refresh the list and check the sync information. Ask Finance to check the accounting record if confirmation is needed.

Restrictions and help

  • Synchronization does not approve a payment profile, validate a bill, or send money.
  • If it fails, resolve the displayed connection or data error before retrying; do not create a second supplier to bypass it.

If something went wrong

After a failed or unclear Sync to QB, check the supplier's saved sync information and have Finance inspect the corresponding QuickBooks record before retrying.

If the wrong supplier details were sent, correct the supported fields through Update a farmer or supplier record and agree the accounting correction with Finance. Do not create another supplier or assume a saved ERP edit has already updated QuickBooks.

Check the correction

Match the ERP supplier and QuickBooks record by their references and confirmed details. Check for duplicates; sync does not approve payment details or send money.
