Receive a delivery as a gift

When to use it

Record a delivery accepted as a gift, with no buying price owed for the donated items.

Before you start

  • You need donation-receiving permission as well as receiving access. Confirm that the delivery is genuinely a gift before choosing this action.

What this changes

The delivery is received using zero buying prices for the gift. Received stock is still recorded.

Completing receipt adds the received stock and creates or refreshes a supplier bill. Different-grade and excess deliveries can create linked orders for review.

Steps

  1. Open an eligible dispatched order through Sourcing → Purchase Receive → Receive.
  2. Check the receive date, actual quantities, units, and stock weights. Attach the delivery note and complete any required reasons.
  3. Select Receive as Gift. Read the confirmation and check the order reference.
  4. Select Yes, Receive as Gift only when the quantities and gift treatment are correct.
  5. Check the completed order, stock quantities, and linked bill.

Restrictions and help

  • Gift receiving is not a way to resolve a missing price or avoid bill review.
  • Follow any additional receiving-exception instructions shown. Excess-only Gift handling is a separate choice inside the excess drawer.
  • If the outcome is uncertain, check the order before trying to receive it again.

If something went wrong

Before confirming receipt, check whether the delivery is actually a gift. If the choice is wrong, correct it while the receipt form is still open.

If you saved the wrong gift choice, reopen the order and check its receipt, stock and bill before doing anything else. Give Sourcing and Finance the order reference, the intended gift choice and the supplier's agreement. There is no supported switch here for changing a completed gift receipt into an ordinary purchase, or the reverse. Do not enter a second delivery or alter quantities to compensate.

Check the correction

Have the reviewers confirm both the stock received and whether an amount is owed to the supplier. A quantity correction alone does not resolve the wrong gift choice.
