Prepare an order from Sourcing List

When to use it

Review the products needed and carry your selections into a new supplier order.

Before you start

  • You need access to Sourcing List and permission to add or edit its entries. Have the required products and quantities ready.

What this changes

The selected products appear on the new supplier order form. An order is created only when you save that form.

A supplier order sets up a purchase. Receiving it records stock and a bill; approval, dispatch, receipt and payment are different stages.

Steps

  1. Open Sourcing → Sourcing List. Use the available filters to narrow the list; select Clear to start again.
  2. For each product you want, choose its unit and enter the required quantity. Check the grade before selecting the row.
  3. Select the product rows, then select Raise Supplier Order.
  4. On the new order form, select the supplier and complete the order details. Check the carried-over units and quantities before saving.

Restrictions and help

  • You must select products before raising an order. Selecting rows does not reserve stock or place an order.
  • If a product is missing, check filters before entering a replacement.

If something went wrong

If you selected the wrong product, grade, unit or quantity, correct the Sourcing List selection before Raise Supplier Order. On the new-order form, check all carried-over lines before saving.

Preparing the form does not save an order. If you already saved the incorrect purchase, follow Create-order recovery using its original reference rather than raising the selection again.

Check the correction

Compare the new-order form or saved order with the intended selected products and quantities. Confirm that the same selection has not produced two saved purchases.
