Add other order supporting documents

When to use it

Attach other purchase evidence to an order containing partner products.

Before you start

  • You need supplier-order add/edit rights and an order containing partner products whose edit form shows the supporting-document section. Save Documents requires the order to be Completed.

What this changes

The newly saved documents are available on the order details.

The documents provide evidence for order and payment checks; saving them does not change the ordered or received quantities.

Steps

  1. Open the order’s Edit form and find Supporting Documents (Optional).
  2. Select Upload Supporting Document and choose the correct file. Check the filename before saving.
  3. Select Save Documents to save new files separately from order changes.
  4. Reopen the order details and use the open controls under Supporting Documents to check the attached files.

Restrictions and help

  • This section is shown in edit mode for orders with partner products. It is separate from the completed-order invoice actions.
  • Save Documents is disabled when there are no new files. Existing files do not need to be uploaded again.
  • If an order edit is blocked by its status, use the available document action or ask the reviewer; do not assume a document save changes order eligibility.

If something went wrong

After a failed or unclear upload, reopen the order and check the saved attachments before uploading the same file again.

Before saving, use the trash button beside an incorrect newly selected file to remove it from the upload. Then select the correct file and Save Documents.

For an incorrect file already saved, give the Sourcing reviewer the order reference, file name and correct document. The edit form's trash button removes it from the displayed selection but does not delete the saved attachment. Agree how the correct file will be identified before adding it, and tell anyone who used the earlier file. Uploading evidence does not change order quantities, stock or bills.

Check the correction

Open the correct saved document and match it to the order. Check that staff know which file to use and replace any incorrect downloaded copies.
