Edit a supplier order

When to use it

Correct an order before approval and dispatch.

Before you start

  • You need supplier-order add/edit permission. An ordinary order must be New Order and not yet approved.

What this changes

The eligible order is updated. Check the total and every changed line before it is approved.

A supplier order sets up a purchase. Receiving it records stock and a bill; approval, dispatch, receipt and payment are different stages.

Steps

  1. Find the order in Sourcing → Supplier Orders and select Edit, or open its details and select Edit Order.
  2. Check the supplier and sourcing details. Change only the details you have confirmed.
  3. Use Add Item or Remove Item as needed. Check each product, grade, unit, quantity, and price; complete any price or storage justification.
  4. Select Update Supplier Order, then reopen the order to check the saved changes.

Restrictions and help

  • Approved ordinary orders cannot be changed through this form. Ask the Sourcing reviewer which correction is appropriate.
  • Pending excess or different-grade orders have a separate review process; use the receiving-exception guide.
  • If saving fails, check the order status before retrying. Do not create a duplicate order to work around the error.

If something went wrong

If the changes have not been saved, correct the form before Update Supplier Order. After an uncertain save, reopen the original order and compare the fields you changed before trying again.

For a saved ordinary order that is still New Order and unapproved, select Edit or Edit Order, correct the confirmed fields and save again. Approval or dispatch blocks ordinary editing. If that happened before the mistake was caught, use Approval recovery or Dispatch recovery, according to its current stage.

Check the correction

Reopen the order and check the changed supplier, products, units, quantities, prices and total. Give the approver the corrected version; replace any delivery note already downloaded.
