Add a farmer, supplier, partner, or co-manufacturer

When to use it

Create the record needed before placing orders or recording deliveries.

Before you start

  • You need add/edit permission for the relevant record type. Have the contact, location, farming or business, and payment information ready.

What this changes

The new record is available in its relevant list. Submitted payment details enter a separate approval process; saving a record does not make those details approved for payment.

These actions change the saved farmer or supplier information used for sourcing. Submitted payment details still need separate payment-profile review.

Steps

  1. Open the correct Sourcing list and choose New Farmer, New Supplier, New Partner, or New Co Manufacturer.
  2. Choose the appropriate type and complete the name, phone, and contact fields shown. Enter email where applicable.
  3. Complete the location and any required farm or business details. Farmers need their farmer type and relevant farm information.
  4. Choose Payment Preference and complete the fields for that method. Check phone, bank, till, or paybill details against the supplied evidence; attach the KRA certificate where required.
  5. Add crops or linked farmers where the selected type offers them. Mark export readiness only after completing its requirements.
  6. Select Save Farmer, Save Supplier, Save Partner, or Save Co Manufacturer, as shown. Find the saved record and check it.

Restrictions and help

  • Phone numbers must be unique; a supplied email must also be unique. Check for an existing record before trying to create another.
  • Required fields differ by type and payment method. Follow the messages beside the fields.
  • If saving is uncertain, search for the record before submitting again.

If something went wrong

If saving is uncertain, search the relevant list for the name and phone number before creating another record; creation may already have succeeded.

For a saved record with incorrect details, follow Update a farmer or supplier record. Give Finance any incorrect submitted payment details for separate payment-profile review. Check the record type and identity before using it for an order; do not create a duplicate simply to fix contact information.

Check the correction

Reopen the saved profile and check identity, contact details and type. Verify the effective approved payment destination separately before payment.
