Validate and schedule several supplier bills
When to use it
Review several eligible bills and schedule them together after checking each one.
Before you start
- You need supplier-bill approval permission. Use pending, unvalidated bills whose orders have been received, and agree the schedule date with Finance.
What this changes
Eligible bills are validated and scheduled, or settled without a transfer where nothing is owed. Some bills can succeed while others fail.
Bill validation can schedule a supplier payment or settle a zero-payable bill using credits. Scheduling a payment is not proof that money was transferred.
Steps
- Open Sourcing → Supplier Bills. Find the bills using the filters and All bills search when needed.
- Review the receipt, amount, documents, and approved payment details for each bill before selecting its checkbox.
- Select Bulk Validate & Schedule. Check the selected bills and enter the agreed payment date.
- Select Validate & Schedule. Read the result, including any bills that failed.
- Refresh the list and check each bill’s status and date. Resolve failed bills individually before retrying.

Restrictions and help
- An unreceived selection prevents the action. Remove ineligible selections and review them separately.
- A payment date is required. Past dates and dates after the same-day cutoff are rejected.
- Bulk success is not proof of payment. Check every selected bill, including error results.
If something went wrong
If the selected bills or date are wrong before confirmation, change the selection or date before Validate & Schedule.
After a failed or unclear bulk result, reopen each selected bill. Some may have succeeded; retry only the eligible bills that failed after resolving their messages.
For a wrong date on a successfully scheduled bill, follow Change a supplier payment date. For a bill that should not be paid, review Cancel a scheduled supplier payment with Finance. If a bill is already paid or settled at zero, ask Finance to check the payment evidence and applied credits instead of validating it again.
Check the correction
Check each bill's validation, payment status, scheduled date, payable amount and credits. Bulk success is not proof that money was transferred.
