Validate a completed customer order
When to use it
Use this guide when you need to validate a completed customer order.
Before you start
- Open Orders from the module menu. Your account must have access to this screen and permission for the action you want to complete.
What this changes
The order’s delivery quantities are submitted for validation.
Validation and sync can send invoice, tax or delivery information for further processing. Printing or exporting makes a copy; a payment request is not evidence that the customer paid.
Steps
- Find a Completed order that has not been validated.
- Select Validate.
- Check the ordered, dispatched, received, and rejected quantities. Enter rejection reasons where needed and check the inventory equivalent in kilograms.
- Select Validate Order and check the validation result in the list.

Restrictions
Validation requires approval access and is disabled for orders that are not Completed or are already validated. Check the quantities actually delivered rather than copying ordered quantities.
If something went wrong
Before Validate Order, compare delivered and rejected quantities, units and reasons with the delivery evidence. Correct the form rather than copying ordered quantities.
After an unclear validation, reopen the original order and check its validation state and resulting quantities before retrying. If incorrect information was validated, ordinary validation cannot be repeated. Give Sales, Inventory and Finance the order/invoice reference and correct delivery evidence before another stock or credit correction.
Check the correction
Check saved delivered/rejected quantities, stock history, invoice and customer balance. Review accounting/tax records separately if they used the incorrect result.
