Edit or cancel a sample order
When to use it
Use this guide when you need to edit or cancel a sample order.
Before you start
- Open Sample Orders from the module menu. Your account must have access to this screen and permission for the action you want to complete.
What this changes
The sample order is updated or cancelled according to the action you choose.
A sample order records a planned delivery of samples. Sample dispatch changes stock and may create a supporting sample adjustment.
Steps
- Find the sample order and check that it is New Order.
- To correct it, choose Edit, update the form, and save.
- To cancel it, choose Cancel, check the reference, and confirm with Yes, Cancel.
- Reload the order and check the result.

Restrictions
Editing needs add/edit access. Cancellation needs delete access. Both actions in the sample-order list require New Order. These are separate choices; do not cancel an order merely to close its form.
If something went wrong
After an unclear edit or cancellation, reopen the sample order and check saved details/status before repeating the action.
While it remains New Order, use Edit to correct supported details. If the wrong order was cancelled, no restore control is described here; agree a replacement with Sales and check the original is cancelled before creating it.
Once dispatched, ordinary Edit/Cancel from this list are unavailable. Give Sales and Inventory the reference and actual sample quantities; correcting the associated stock adjustment alone does not undo the sample order.
Check the correction
Check original and any replacement status/details, and confirm samples or stock have not been counted twice.
