Create a sample order
When to use it
Use this guide when you need to create a sample order.
Before you start
- Open Sample Orders from the module menu. Your account must have access to this screen and permission for the action you want to complete.
What this changes
A sample order is saved and can be checked in Sample Orders.
A sample order records a planned delivery of samples. Sample dispatch changes stock and may create a supporting sample adjustment.
Steps
- Open Sales → Sample Orders and select New Sample Order.
- Check the selected customer. Complete Lead Customer, Lead Owner, the order date, payment type, and delivery details as appropriate.
- Add the sample products and check grades, units, quantities, prices, sizes, and ripeness.
- Review the total and delivery instructions, then use the form’s order save action.
- Check the saved sample order reference and its details.

Restrictions
At least one line item is required. The form can use a preselected company for samples; verify the displayed recipient before saving. Drafts do not create orders.
Sample orders cannot contain partner products.
If something went wrong
Before saving, correct the sample recipient/lead, owner, delivery details and items. After an unclear save, find the sample order before recording it again.
For a saved New Order, follow Edit or cancel a sample order. If it has already been dispatched, give Sales and Inventory the sample-order and supporting stock references for review. Do not reverse only its sample adjustment and assume the full sample process was undone.
Check the correction
Check the saved recipient, items, quantities, date and status. Review physical samples already sent and any stock correction separately.
