Correct recorded mileage

When to use it

Use this guide when you need to correct recorded mileage.

Before you start

  • Open Mileage from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

Recorded route mileage is corrected.

Saving mileage changes the recorded route mileage. Planned, recorded and GPS kilometres are different measurements.

Steps

  1. Open Logistics → Mileage and find the correct route, date, registration, and driver.
  2. Choose Edit mileage and enter the corrected mileage fields shown.
  3. Select Save mileage, or Cancel mileage edit to discard the change.
  4. Check the saved row and compare it with the supporting mileage evidence.

Restrictions

Mileage add/edit access is required. The update unlocks and relocks the route while saving. Planned kilometres, recorded kilometres, and GPS kilometres can differ; use the intended field.

If something went wrong

  1. Compare the route, vehicle, driver, date and mileage evidence. Identify which displayed mileage field is wrong.
  2. Use Edit mileage and Save mileage in Correct recorded mileage. Use Cancel mileage edit only to discard an unsaved edit.
  3. After an uncertain save, reopen the route and confirm its mileage and whether it is locked again before trying again. Give the logistics owner the route reference if the save or relock failed.

What the correction changes

A successful save changes the selected mileage fields; the update temporarily unlocks and relocks the route.

What still needs follow-up

Have Finance review affected mileage-based expenses and any automation rerun. Do not assume editing mileage rewrites an already-approved or paid expense.

Check the correction

Compare the saved row with the mileage evidence and check the route is relocked. Review affected expenses separately with Finance.
