Add or edit a vehicle
When to use it
Use this guide when you need to add or edit a vehicle.
Before you start
- Open Vehicles from the module menu. Your account must have access to this screen and permission for the action you want to complete.
What this changes
A vehicle record is saved with its capacity, costs, and compliance details.
People, owner and vehicle records supply delivery planning details and can be linked to routes or expenses.
Steps
- Open Logistics → Vehicles and choose Add Vehicle.
- Enter registration, ownership, owner where needed, vehicle type, load capacity, tank capacity, and expected fuel efficiency.
- Complete availability times, cost per kilometre, lease terms, and relevant expiry dates. Upload the required documents.
- Review the status and save the form. Use Edit for later corrections.

Restrictions
Use the actual vehicle capacities and document dates. Owned and leased vehicles have different fields. Vehicle add/edit access is required.
If something went wrong
After an unclear save, find the vehicle by registration before adding another. Use Edit to correct supported capacity, availability, ownership, costs, documents or expiry details on the existing vehicle.
If incorrect details were used for route planning or expenses, give Logistics the registration, affected routes and confirmed information. Recheck those assignments and costs separately; a vehicle edit does not automatically correct a route or paid expense.
Check the correction
Reopen the vehicle and compare the changed fields and documents with the evidence. Check active route assignments and affected expenses separately.
