Validate or sync stock movements

When to use it

Use this guide when you need to validate or sync stock movements.

Before you start

  • Open Stock Movement from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

Stock movements are submitted for validation or QuickBooks sync.

Saving a normal stock movement changes both the source and destination stock. Validation records approval after that movement.

Steps

  1. Find a pending movement and check both SKUs (codes for particular products, grades, and units) and the quantity.
  2. Use Validate for one movement or Bulk Validate for selected eligible rows. Review the confirmation.
  3. Use Sync to QB where offered after checking the movement.
  4. Check validation and sync results separately.

Restrictions

Approval access is required. Already validated movements cannot be validated again, and already synced movements cannot be synced again.

A movement must be validated before it can be sent to QuickBooks. Its source grade must have enough stock for the movement.

If something went wrong

After an unclear validation or sync, check each movement's validation status and QuickBooks reference separately. Bulk validation can leave some rows needing attention; retry only eligible failed rows.

If the wrong movement was validated, have Inventory review Delete or reverse a stock movement; validated movements cannot be deleted ordinarily. If it was also sent to QuickBooks, Finance must review that accounting entry separately. Reversal in the ERP is not proof that an external entry was corrected.

Check the correction

Check both grade balances, movement validation and accounting sync results. Confirm any agreed reversal/replacement does not duplicate the transfer.
