Upload a stock reconciliation file

When to use it

Use this guide when you need to upload a stock reconciliation file.

Before you start

  • Open RTI Reconciliations from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

A stock comparison file is uploaded for review before it changes inventory.

A cycle count records a physical count. Applying a stock reconciliation is the separate action that changes stock and can change later stock values.

Steps

  1. Open Inventory → RTI (real-time inventory, or current recorded stock) Reconciliations and choose Download Template.
  2. Complete the file with the physical quantities and any required supplier-order or stock-movement references.
  3. Choose Upload File. Set the count date and explanatory notes, then review the parsed rows.
  4. Select Save & Upload and check that the record reaches the status required for Preview.

Restrictions

Upload needs inventory-reconciliation add/edit access. Use the stock quantities measured at the selected date, in the units required by the template. Uploading is separate from applying the reconciliation.

If something went wrong

Before Save & Upload, check the count date, physical quantities, units and supporting references in the file.

After an unclear upload, find the existing reconciliation and inspect its status before uploading again. If an unapplied file is wrong, do not Apply it: correct the file and upload a replacement for review, keeping the incorrect reference so staff do not apply it later.

If the wrong file was already applied, follow Applied-reconciliation recovery. Uploading a replacement alone does not undo it.

Check the correction

Check the replacement date and preview rows against the count sheet. Confirm only the intended reconciliation is taken forward for application.
