Review and apply a stock reconciliation

When to use it

Use this guide when you need to review and apply a stock reconciliation.

Before you start

  • Open RTI Reconciliations from the module menu. Your account must have access to this screen and permission for the action you want to complete.
  • Applying a reconciliation changes stock records and values. Have the count and differences checked before confirmation.

What this changes

The reconciliation creates correcting stock entries and recalculates inventory values from the selected date.

A cycle count records a physical count. Applying a stock reconciliation is the separate action that changes stock and can change later stock values.

Steps

  1. Find an uploaded record with parsed status and select Preview.
  2. Compare Physical Qty (KG), System Quantity (KG), Difference, and Projected Qty After Apply (KG).
  3. Check positive, negative, and matched rows and the total number of changed lines.
  4. Choose Apply, review the confirmation, then select Apply Reconciliation. Check the resulting stock changes.

Restrictions

This needs add/edit reconciliation access. Rollback is currently disabled; do not plan on undoing an applied file through that control.

If something went wrong

If the preview date, products, kilograms or differences are wrong, do not select Apply Reconciliation. Correct the source file and upload a reviewed replacement.

After an unclear application, inspect the original reconciliation's status and affected stock history before trying again.

If the wrong reconciliation was applied, Rollback is disabled. Give Inventory the file reference, count/application dates and incorrect rows. Agree the correction against current physical stock and later sales, movements or processing before making another stock change; applying another file is not an automatic undo.

Check the correction

Compare the agreed corrected stock by grade and kilograms with physical evidence and stock history. Keep the original and correction references together and check no difference was applied twice.
