Record a physical cycle count
When to use it
Use this guide when you need to record a physical cycle count.
Before you start
- Open Cycle Count from the module menu. Your account must have access to this screen and permission for the action you want to complete.
What this changes
The physical product count is recorded with its batch and ripeness information.
A cycle count records a physical count. Applying a stock reconciliation is the separate action that changes stock and can change later stock values.
Steps
- Open Inventory → Cycle Count and select Add Cycle Count.
- Choose the product and check Default Unit.
- Enter each batch’s quantity. For a unit without a fixed weight, enter the measured kilograms. Add batches with Add Batch where needed.
- Split ripe, semi-ripe, and unripe quantities where appropriate. Add notes, check totals, then choose Submit Cycle Count.

Restrictions
At least one batch with a positive quantity is required. Measured kilograms are required for non-standard-weight entries. A count is not the same action as applying a stock reconciliation.
If something went wrong
Before Submit Cycle Count, correct the product, batches, units and measured kilograms against the physical count sheet. After an unclear save, check today's saved count before submitting again.
For an incorrect count recorded today, submit the confirmed corrected count for the same product and grade; the same-day entry is updated. For an older count, give Inventory the original date, product and count evidence for review.
If a reconciliation already used the wrong count, review Applied-reconciliation recovery separately. Recording another count is not an undo of an applied stock change.
Check the correction
Compare the saved batches and kilograms with the count sheet. Check any reconciliation based on the earlier count with Inventory.
