Send a customer credit note
When to use it
Use this guide when you need to send a customer credit note.
Before you start
- Open Credit Notes from the module menu. Your account must have access to this screen and permission for the action you want to complete.
- Verify the customer before using Send to Customer.
What this changes
The selected credit-note copy or sync request is sent to the chosen destination.
A credit note records a reduction in what the customer owes. Approved item credits can also change received/rejected quantities and stock treatment; a discount credit has different effects.
Steps
- Find the correct credit note and check its approval and customer details.
- Use Send to QB for QuickBooks, Send to ETIMS for tax reporting, or Send to Customer for the customer copy.
- Check each action’s result and recorded send status separately.

Restrictions
Only use the controls offered for the note’s current status and your access. Sending to one destination does not mean the other destinations have received it.
If something went wrong
After an unclear send, check the saved result for the selected destination: QuickBooks, eTIMS or the customer. One destination's success does not confirm the others. Have Finance check an existing external reference before any retry.
If incorrect credit details were sent, give Finance the note, order and destination references and correct evidence. Use Credit-note recovery for the source correction. A saved edit does not recall a customer message or automatically replace an accounting/tax document already issued.
Check the correction
Check each destination separately and confirm the customer has the reviewed correct document. Keep the original and correction references together.
