Review transactions not yet in a journal

When to use it

Use this guide when you need to review transactions not yet in a journal.

Before you start

  • Open Weekly Journal Exports from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

Viewing or downloading this information does not itself change the source records.

The selected month’s outstanding transactions are grouped into a journal for review. Creating it does not send it to QuickBooks.

Closing an accounting period restricts posting. Journals group accounting entries; manual journals must balance before saving and are reviewed before sync.

Steps

  1. Open Weekly Journal Exports and find Not yet in a ledger. These are recorded transactions not yet included in a journal.
  2. Choose Date Range if needed and select View for the month you want to review.
  3. Review its transactions and use Export CSV to download the selected view.
  4. When the transactions are correct, select Create ledger for that month and read the confirmation.
  5. Confirm with Create ledger. Review the resulting journal before separately sending it to QuickBooks.

Restrictions

You need the access required by the journal screen. Check the month and outstanding lines carefully before creating a journal. A failed result needs investigation before repeating the request.

The month must have outstanding transactions, use one currency, and balance. Creating a second manual ledger for the same month is blocked.

Troubleshooting

What you seeWhat to do
Expected transactions are missingCheck Date Range and the month selected under Not yet in a ledger. Compare source references and any existing journal before assuming a transaction was not recorded.
A displayed transaction or CSV is wrongHave Finance investigate the original transaction, then refresh the same month and use Export CSV for a checked replacement. Identify any old shared copy so it is no longer used.
Create ledger failed or its result is unclearLook for the journal for that month before trying again; a second manual ledger for the month is blocked. If a wrong journal was created, do not sync it. Give Finance its reference and source entries and follow Journal review and sync help.
