Generate download or share a statement of account
When to use it
Use this guide when you need to generate download or share a statement of account.
Before you start
- Open Accounts Receivables from the module menu. Your account must have access to this screen and permission for the action you want to complete.
What this changes
The customer’s statement can be reviewed, downloaded, or emailed.
Reports and statements show recorded balances. Bad-debt marking changes the invoice’s classification, not whether cash was received.
Steps
- Open the statement-of-account screen and select the customer, statement type, start date, and end date.
- Select Generate SOA. SOA means statement of account, a summary of the customer’s charges, payments, and balance.
- Check the dates, references, debit and credit entries, and resulting balance. Use the document download control for a copy.
- To email the statement, open Share Statement of Account, check the recipient address, and select Send.

Restrictions
A statement describes recorded entries; it does not receive or settle a payment. Check the recipient and the statement period before sending.
If something went wrong
For a wrong customer, statement type or period, correct the selection and Generate SOA again. If the balance itself is wrong, have Finance correct the source payment, invoice or credit before generating a replacement; the statement screen does not edit those entries.
If a wrong statement was emailed, give Finance the customer, period, recipient and send result. Agree a corrected statement for the intended recipient and identify the earlier copy. After an unclear Send, check the outcome before sending again; regenerating a statement does not recall an email.
Check the correction
Check the replacement customer, period, entries and balance before download/share. Confirm recipients know which reviewed version to use.
