Create a manual journal

When to use it

Use this guide when you need to create a manual journal.

Before you start

  • Open Weekly Journal Exports from the module menu. Your account must have access to this screen and permission for the action you want to complete.
  • A journal changes accounting records after posting. Use an approved accounting correction.

What this changes

A balanced manual journal is saved as pending for review and later sync.

Closing an accounting period restricts posting. Journals group accounting entries; manual journals must balance before saving and are reviewed before sync.

Steps

  1. Select New manual journal in Weekly Journal Exports.
  2. Enter the journal date and memo. Use Add line for each account entry.
  3. Enter a debit or credit amount for each line and check the supporting description.
  4. Check that total debits equal total credits and that the difference is zero. Select Create journal.
  5. Open the saved journal and review it before using Sync to QuickBooks.

Restrictions

Use a date in an open accounting period, or the permitted exception shown by the ERP. Each line needs a valid amount, and the journal must balance.

At least two lines are required. Each line needs either a debit or a credit, and the totals must balance.

If something went wrong

Before Create journal, correct the accounts, date, amounts and memo and confirm debits equal credits. After an unclear save, look for the original document before creating another journal.

If the saved journal is wrong, do not sync it to QuickBooks. Give Finance the journal reference and supporting entries; no saved-journal editor or general undo is described in this guide. Agree the accounting correction before creating another balanced journal. If it was already synced, follow Journal-sync recovery.

Check the correction

Check the reviewed journal's accounts, date, balance and source references. Confirm any correction is recorded in the intended period and does not duplicate the original entries.
