Apply existing credits or leave a payment unapplied

When to use it

Use this guide when you need to apply existing credits or leave a payment unapplied.

Before you start

  • Open Accounts Receivables from the module menu. Your account must have access to this screen and permission for the action you want to complete.

What this changes

Existing credits can be applied to invoices, or a received payment can remain available as customer credit.

Booking a payment records money received and how cash or existing credits are assigned to invoices. It changes invoice balances and available customer credit.

Steps

  1. Open Book Payment for the customer and inspect the available credit sources.
  2. Select the existing credits to use and check their available amounts. Allocate them to the intended invoices.
  3. If a received cash payment should remain as customer credit, choose the option to leave it unapplied instead of selecting credits and invoices.
  4. Review the allocation message before saving, then check invoice and customer credit balances.

Restrictions

The unapplied option needs a positive cash payment and cannot be combined with selected credits. Do not count the same payment again when applying previously recorded credit.

If something went wrong

Before saving, correct the selected credit sources and amounts assigned to invoices. Do not enter existing credit as a second cash receipt.

After an unclear save, inspect the original booked payment, invoice allocations and remaining credit before applying it again. For saved amounts assigned to the wrong invoices, follow Booked-payment correction. Reversal can be blocked if that credit has already been used elsewhere; Finance must review those links first.

Check the correction

Check each affected invoice balance and remaining customer credit. Confirm the actual payment was recorded once and the credit was used only for the intended invoices.
